How Workly collects, uses and protects personal data, written to be read by people, not just lawyers.

The short version

We never sell your data

Your data is used to run Workly for you, nothing else.

Only our threads sync

Workly reads the conversations it starts, not your whole inbox.

Delete anytime

Remove a prospect or your whole workspace whenever you want.

Every decision is visible

The decision trace shows what the agents used and why.

01

Who we are

Workly is operated by [Company legal name], [Registered address] ("Workly", "we", "us"). This policy explains what personal data we collect when you use our website and product, why we collect it, and the choices you have.

For data you add about your own prospects, you are the controller and we process it on your behalf. For data about you as our customer, we are the controller.

02

What we collect

We collect only what we need to run the service:

  • Account data: your name, work email, company and billing details.
  • Connected accounts: access to the mailbox, LinkedIn account and calendar you connect. Only threads that Workly started are synced. Your personal mail never enters the CRM.
  • Prospect data: names, roles, companies and public information you add or that the agents find while researching.
  • Usage data: how you use the product, device and browser information, and logs we need for security.
In plain words: we read the conversations Workly starts for you, not the rest of your inbox.
03

How we use it

  • To research prospects, write, check and send messages you have asked Workly to send.
  • To handle replies, pause sequences and book meetings on your calendar.
  • To improve how the agents work for your account, including self-healing and new specialist agents.
  • To bill you, keep the service secure and meet legal duties.

We [do / do not] use your content to train general AI models shared with other customers.

04

AI processing

Workly uses large language models from [AI providers] to research and write. Data sent to these providers is used only to produce your results and is covered by data processing agreements.

Every agent decision is recorded in the decision trace, so you can see what was used and why.

05

Sharing and subprocessors

We never sell personal data. We share it only with providers that help us run the service, such as hosting, email delivery, payments and AI models.

The current list is on our subprocessors page: [link]. We will tell you before adding a new one.

06

How long we keep data

We keep account data while your account is open. Prospect and message data is kept for [retention period] after your account closes, then deleted. You can delete prospects or your whole workspace at any time.

07

Security

Data is encrypted in transit and at rest. Access is limited to people who need it. Our security practices and compliance status are described at [security page link].

08

Your rights

Depending on where you live, you can ask to access, correct, export or delete your personal data, and to object to or limit how we use it. You can also withdraw consent at any time.

Prospects who receive a message from Workly can opt out with one click. Every email includes an unsubscribe link.

09

Cookies

We use essential cookies to keep you signed in and, with your consent, analytics cookies to understand how the website is used. You can change your choice in the cookie settings at any time.

10

International transfers

Your data may be processed outside your country. When it is, we use approved safeguards such as [Standard Contractual Clauses].

11

Changes to this policy

If we make a material change, we will email account owners at least 30 days before it takes effect. The date at the top shows the latest version.
